If you’re choosing between Xero and QuickBooks, the deciding factor is payroll. If you need it built-in, QB wins. If you’re outsourcing payroll or have a contractor-only team, Xero is the better choice. The user experience alone is worth switching. Xero’s interface was designed this decade instead of looking like it was built in 2005. Your accountant will be happier, your team will use it without complaining, and you’ll spend less time wondering where to click.

The strength of Xero is that it’s designed for small business owners who are organized but not accountants. You invoice a client, they pay you, Xero tracks it and categorizes it. You take a photo of your receipt with the mobile app, it uploads, you categorize it, and it’s done. No data entry busywork. The dashboard shows you cash flow in real-time so you always know where you stand. That matters when you’re first starting—you need to know when you can pay yourself.

At $15-78/month depending on features, Xero is aggressive on pricing compared to QB. You get invoicing, expense tracking, and reconciliation at every tier. If your accountant works with you, they can access your files directly so you don’t have to export reports and email them back and forth. The international transaction support is built-in, which is huge if you have any customers or vendors outside the US. For a remote founder in year 1-2 of a startup, Xero is the less-friction accounting path.
